E-invoicing for Europe and Latin America
Issue customer invoices and credit notes as Peppol BIS 3, XRechnung, Factur-X, FatturaPA, KSeF or CFDI 4.0, check them against the business rules before they leave, and keep a record of what each network said.
Many countries now require a structured e-invoice instead of, or as well as, a PDF. Each requirement is a format plus a network: Peppol through an access point, Germany's XRechnung, France's and Germany's Factur-X, Italy's FatturaPA through the SdI, Poland's KSeF and Mexico's CFDI through a PAC. India's IRP and Saudi Arabia's ZATCA have their own screens and are not affected.
- Open Accounting > E-invoicing > E-invoicing Profiles and add a profile: the country, the format, and the seller's identifiers (VAT id, Peppol endpoint, Italian regime fiscale, Mexican RFC and regime, Polish NIP), with bank details for payment.
- On E-invoicing Customer Identifiers, record what each customer's e-invoices must carry: a Peppol participant id, a German public buyer's Leitweg-ID, an Italian codice destinatario or PEC, a Mexican RFC and uso CFDI, a Polish NIP.
- On Customer Invoices, press E-invoice on a posted invoice or credit note. The document is generated and validated straight away.
- Open E-invoices to see it. Validation lists every problem in a sentence that names its rule, the rules that were checked, and what is not checked here.
- Press Send. By file, the document is kept for you to download and upload; by HTTP, it is posted to the profile's connection.
- When the network or the customer answers, use Record outcome: accepted or rejected, with the network's reference.
- Peppol BIS Billing 3.0: UBL 2.1 Invoice and CreditNote under EN 16931.
- XRechnung: the German version of EN 16931, in UBL or CII. The buyer's Leitweg-ID goes in BT-10.
- Factur-X / ZUGFeRD: CII XML, plus a PDF with the XML embedded in it as factur-x.xml.
- FatturaPA: the Italian FPR12 XML, addressed to a 7-character codice destinatario or a PEC address.
- KSeF: the Polish FA(2) or FA(3) structured invoice.
- CFDI 4.0: the Mexican comprobante. The seal and the stamp (timbrado) are applied by your PAC.
A company with no active profile issues no e-invoices, and nothing about its invoices changes. The HTTP connections (Peppol access point, SdI, KSeF, PAC) follow each network's published interface but have not been tried against a live network from this installation. Send by file until a connection has been tested with real credentials. A credential is sealed when it is saved and is never shown again.
The validation covers the EN 16931 rules that can be checked without the official Schematron: mandatory fields, totals arithmetic (BR-CO), the VAT breakdown and categories, and ISO currency, country and unit codes. It also covers each format's own mandatory fields. It does not run the full Schematron or the XSD schemas; the receiving network does that. The Factur-X PDF carries the XML the way PDF/A-3 does, but it is not a certified PDF/A-3 file.
