What ASK and the AI engines never see

No personal data goes to an AI engine or comes back from one: names, contact details, identity numbers, bank details and card numbers are replaced on the server before anything leaves, and answers are checked on the way back.

ASK, the agents, reading a scanned document, Find on the web — anything that asks an AI engine something sends it words. Those words are filtered on TRANXACT’s server first, every time, whichever engine is configured.

What is taken out

  • Email addresses and phone numbers.
  • IBANs and bank account numbers.
  • National identity numbers: Iqama, Aadhaar, Social Security numbers, PAN.
  • Card numbers.
  • The names of people on file — employees, contacts, patients, students, applicants.

Each is replaced with a placeholder before the request leaves — "[name tbrqlo]", "[email address kqzmwd]", and simply "[payment card]" for a card — so the engine never reads the person. The same value gets the same placeholder throughout a conversation, so the engine can still follow it. Its answer is scrubbed the same way on the way back.

Putting things back

When ASK does something for you — creates a record, sends an approval, fills in a field — the placeholders in that action are put back with the real values on the server, so the record is right. They are never put back in the text you are shown, and a card number is never put back at all.

Fields ASK does not read

National IDs, passport numbers, IBANs, bank account numbers and card details are withheld from what ASK gets back when it looks records up, even for somebody whose role can see them on screen. Open the record to read them.

What cannot be filtered

  • An image or a recording sent to be read or transcribed — a scanned invoice, a photo of a receipt, a voice question — goes as it is, because a picture cannot be redacted word by word. The text that comes back is scrubbed.
  • A name that is not yet on file in TRANXACT cannot be recognised as a person’s name, and goes as written. Do not type personal details about somebody who is not on file into ASK.

Nothing about this is a setting: it applies to every company and every engine.

Since 20 October AI can be switched off or made suggest-only per area, and every AI-assisted decision about a person can be made to wait for a person. See AI governance: AI Settings per area, AI Decision Reviews, the AI-use report and the AI Disclosure Register.
