Connect your mailbox and calendar to CRM
Your own Microsoft 365 or Google mail and meetings, logged against the contacts, leads and accounts they involve, only once you opt in.
Mailbox sync reads your mail and calendar and logs the messages and meetings that involve somebody in CRM as activities: an email or a meeting on the contact, the lead or the account, attached to the account's open opportunity. Nothing is read until you opt in, and nobody else can read or sync your mailbox.
- An administrator registers the company's app once under CRM > Inbox & Calendar > Mailbox Apps (client ID and, with Set client secret, the secret).
- Open Mailbox Connections, choose Microsoft 365 or Google Workspace and press Add, then Connect. You sign in at Microsoft or Google; TRANXACT never sees your password.
- Tick I agree to my mailbox and calendar being read into CRM, choose what is kept of each message, and list any domains or labels that must never be logged. Save.
- Press Read now, or let the quarter-hourly sync do it.
- Mail is matched to a contact by address first, then a lead, then an account by its web domain. Mail between colleagues only is never logged.
- Meetings marked private are skipped without even their subject being kept.
- The same message seen twice, or in two colleagues' mailboxes, is logged once.
- A meeting you book in CRM goes into your own calendar when Put meetings I book in CRM into my calendar is ticked.
The Sandbox connection reads an uploaded JSON export, .ics calendar or .eml message through exactly the same matching, for trying it out without a live mailbox.
