Payroll outside the United States
Payroll follows the company's country. A company in India or Saudi Arabia sees its own pay codes, forms, overtime law and holidays, and none of the US federal and state machinery.
TRANXACT is one product for every country. What payroll shows is decided by the country in the company profile (Platform > Companies), not by which installation you are using. Change the country there and payroll follows it.
A company in the United States keeps everything American: Form W-4 withholding, the federal and state tax tables, local taxes, Form W-2, 941 and 1099, and FICA, FUTA and SUTA on the payslip. A company anywhere else is not shown any of these: the screens are not drawn, their addresses answer with a sentence saying they are for the United States, and the words on the common screens are neutral (Income tax, Employer tax reference, Region) or the country's own.
- India: income tax (TDS), EPF / ESI, the Employer TAN, states and union territories, and Form 16, the 24Q, Form 12BB, the EPF ECR, the ESI return and the professional tax return, each prepared on its screen in Accounting → Close & Compliance (the India sections).
- Saudi Arabia: no income tax on salaries; GOSI annuities, SANED and occupational hazards on every payslip; the GOSI establishment number; the thirteen regions; the GOSI monthly statement, the WPS salary file and the end-of-service settlement under HRMS > Saudi Payroll.
- Any other country: gross, the company's own deduction codes and net. Statutory Forms says plainly that none are built in.
- Check the company's country under Platform > Companies. Saving a new country sets up that country's pay codes, monthly pay group, overtime rule, national holidays, liability accounts and forms, and retires the US rows nothing has used.
- On each employee, choose the work country if it differs from the company's, and the work region from the country's own list.
- In India, fill in the statutory pay fields (basic, DA, HRA, PT state, regime, EPF and ESI). In Saudi Arabia, fill in basic, housing and transport, the GOSI category and number, the date first registered with GOSI, and the iqama or national ID.
- Run payroll as usual from Pay Processing > Payroll Runs. The payslip carries the country's own statutory lines, each with the sentence that explains it.
- File from HRMS > Tax & Filing > Statutory Forms, which lists the country's forms and opens the screen each is prepared on.
GOSI rates are kept under HRMS > Saudi Payroll > GOSI Rates, effective dated. A Saudi first registered with GOSI on or after 3 July 2024 is on the new Social Insurance Law's annuity rates, which rise half a point a side every July until 2028; one registered before stays at 9% + 9%. The contributory wage is basic + housing, at least SAR 1,500 and at most SAR 45,000 a month.
The WPS salary file follows the Mudad structure: a header naming the establishment, the paying bank and account, the value date and the total, then one record per employee with the iqama or ID, bank, IBAN and the pay split into basic, housing, other earnings and deductions. Have your bank validate the file before the first live upload; banks differ in detail.
