Fiscal year variants, fiscal years and fiscal periods, and number ranges fixed once in use
Each company cuts its own fiscal years: the calendar year, twelve months from another month, 4-4-5 / 4-5-4 / 5-4-4 weeks or thirteen four-week periods, with up to four special periods. Fiscal Years cuts a year into its periods, and a period’s code and dates can be corrected until its year has postings. A number range that has issued a number, or whose records exist, keeps its numbering; it can restart every fiscal year or fiscal period.
Accounting › Ledger › General Ledger › Fiscal Year Variants, Fiscal Years and Fiscal Periods. The fiscal calendar is per company: what one company sets does not change another’s.
Fiscal Year Variants: how the year is cut
- Code (a short name, e.g. <CAL>, <FYAPR>, <R445>) and Name are required.
- How the year is cut: Calendar year (January to December); Twelve months from a start month (e.g. April to March); 4-4-5 weeks, 4-5-4 weeks or 5-4-4 weeks (a 52/53-week year); or Thirteen four-week periods.
- The year starts in: the month. A calendar year starts in January. A week-based year ends on the chosen weekday in the month before.
- The year ends on a: the weekday a week-based year ends on — required when the kind is week-based. Which one: The last one in the month, or The one nearest the month’s end.
- Special (adjustment) periods: 0 to 4, dated on the year’s last day, for audit and closing entries.
- Default for new years: the variant Add fiscal year offers first. Description is free text.
- The list shows Variant, Name, Kind, Starts in month, Special periods, Years, Default and Locked because.
A variant is fixed once a year cut with it has postings — Locked because says so. To change how future years are cut, add a new variant and use it for the years to come.
Fiscal Years
- Fiscal Years › Add fiscal year: choose the Variant and the Fiscal year — the calendar year it ends in, so April 2026 to March 2027 is <2027>.
- The year is cut into its periods with that variant. Periods that already exist with the same code and dates are kept exactly as they are; anything in the way is refused by name.
- Generate periods on a year cuts it again: missing periods are made, existing ones are kept exactly as they are.
- Remove removes a year and its periods — only a year with no postings.
- Columns: Fiscal year, From, To, Variant, Kind, Periods, Special, Origin and Locked because.
- A year, its variant and its periods are fixed once a journal is dated in the year. The rule is enforced by the server and the database, not only on the screen, so an import or an API call is refused too.
Fiscal Periods: editable until posted to
- Fiscal Periods lists the periods each year is cut into, with Fiscal year, No. (period number), Quarter, Special and Locked because.
- A period’s code (e.g. <2026-08>, or <2027-01> for the first period of a week-based year) and its Start and End can be corrected until its year has postings.
- Close period, Soft close and Open again are always possible: closing a period is not a change to the calendar.
- Posting, the close, accruals, revaluation, settlement, depreciation and the sales forecast find the regular period by its date or code. In a thirteen-period year depreciation takes 12/13 of a month’s charge each period.
New and existing companies
- Creating a company asks Fiscal year starts in (January (calendar year) when left as it is). Its current and next fiscal years are created with monthly periods from that month; a week-based or thirteen-period calendar is set up later under Fiscal Year Variants.
- Every company that existed before release 20261022 was given a variant matching its ledger, and its whole-month periods were grouped into fiscal years without changing a single period. Fiscal-year answers it gave before (budgets, reports) do not change.
- Roles: the controller keeps Fiscal Year Variants, Fiscal Years and Fiscal Periods; finance and the close manager read them; internal control and the expense auditor read them and the periods.
Number ranges fixed once in use
Platform › Configuration › Core Settings › Number Ranges. A range is in use once it has issued a number, or once the records it numbers exist in the company. The list shows a lock and In use; the edit pop-up says “This range is in use: <reason>. Only its name can change now (and its maximum be raised, or the next number moved forward).”
| On a range in use | क्या होता है |
|---|---|
| Name, a higher maximum, the next number moved forward | Saved. |
| Numbering mode, prefix, suffix, digits, reset, minimum | Refused: the fields are greyed, and the server and database refuse them however they are sent. |
| A lower maximum, the next number moved back | Refused: numbers already issued could be issued again. |
| Switching the range off, or deleting it | Refused. |
- Reset (choose it before the range is used): Every year, Every month, Every fiscal year or Every fiscal period. The last two restart the counter at the start of each fiscal year or fiscal period of the company’s own calendar — a 4-4-5 period, or a year starting in April — not of the calendar month or year.
- A range not yet used can still be set up freely. Plan the numbering of a new company before its first documents; after that, change only what the table above allows.
How to reuse: codes, years and period codes in angle brackets are examples; your own appear in their place.
