Learning: assignment rules, sessions, learning paths, evaluations, compliance training, certifications and licenses, skills and an outside LMS
HRMS › Learning & Development: courses assigned by rule, with reminders and a repeat when they lapse; instructor-led sessions with places and a wait list, which employees register for and cancel themselves in My Learning; learning paths taken in order; evaluations asked for when a course is completed; the compliance-training report; certifications and licenses with expiry alerts and a renewal task; a skills inventory measured against each job; and an outside learning platform such as Aspire exchanging courses, enrolments and completions.

- Roles: Learning & Development Administrator runs all of it (performance screens read-only, except development plans); Human Resources has full access; HR Auditor reads (it reads the HR screens but not payroll, which is the Payroll Auditor’s — a company can give a person both). Employees use Employee Self Service › My Learning, My Certifications & Licenses and My Skills; managers Team Learning and Team Skills (their direct reports only).
Training Assignment Rules
- New rule: a Name, and a Course or a Learning path — one of the two (“A rule assigns a course or a learning path -- one of the two”).
- Who it reaches: Job, Position, Department (And the units under it), Location, Employment type, New hires only with Hired within (days). Blank criteria reach anybody; filled ones must all match.
- When: Days to complete (from the day it is assigned; for new hires from the hire date), Repeat every (months) — blank is once — Remind (days before due) and Tell the manager (days overdue).
- Save. The rule runs every morning; Run now does it at once: “<Safety induction>: <12> enrolled, <3> re-opened for recurrence, <40> already on it (<55> reached).” Nobody is ever removed.
When a repeating course falls due again the completed enrolment is re-opened with the anniversary as its due date; the earlier completion stays in Completion History. Employees are reminded when the due date nears, on the day, then weekly while overdue (“Training is <3> days overdue: <course>”), and the manager is told once when it is overdue by the escalation days.
Courses, sessions and learning paths
- Training Courses now have Category, Provider, Valid for (months) — how long a completion counts — Pass mark (a course with one is completed by its assessment, not by the learner), Ask for an evaluation, Open for self-registration (anybody may register for its sessions from My Learning; off, only people on the course) and Id in the learning platform. Compliance training marks a course as mandatory; the box by itself enrols nobody.
- Training Sessions: Course, Starts, Delivery (in_person, virtual, hybrid), Location or Virtual link (an https:// address), Instructor and Places. Register adds a person; once the places are taken they are wait-listed: “<2> registered, <1> wait-listed (the session is full).” When a registered place is cancelled — by the employee in My Learning, or by HR marking it cancelled on Session Attendance — the longest-waiting person is moved up. Mark attendance records attended, absent, excused or cancelled; Complete session completes the course for everybody marked attended.
- Learning Paths: courses in order. With Courses in order the next course is enrolled when the one before is completed; otherwise all at once. Assign gives the path to an employee with Complete by; Learning Path Assignments shows Completion %.
- Course Evaluations: a rating from 1 to 5 (Overall, Content, Instructor, Relevance), Would recommend and Comments, given from My Learning once the course is completed. Programme Effectiveness sums them per course, with Evaluations awaited.
My Learning: registering for a session
- Employee Self Service › My Learning › Register for a session lists the sessions still to come of the courses you are on, and of courses open for self-registration. Or choose Register on a course’s row for a session of that course.
- Pick the Session and confirm: “Registered for <TS000012>.” A full session puts you on its waiting list: “<TS000012> is full: you are on the waiting list, and are moved up if a place frees.” The Registration column shows registered or waitlisted.
- One place per course: “You already have a place on <TS000011> of <Forklift safety>: cancel that registration first.”
- Cancel registration on the course’s row gives the place up before the session starts: “Your registration for <TS000012> is cancelled. Your place went to the next person on the waiting list.”
A course that is not open for self-registration can be registered for only by people already on it. Registering for a course open to anybody enrols you on it.
Evaluations asked for
- A course with Ask for an evaluation asks for one when it is completed — by HR, by a session, by the learner or from the LMS. The learner is mailed at once with a link to My Learning, sees Evaluation asked on the course and “<1> course evaluation(s) to give” on the My learning card of My Workspace.
- Completing such a course yourself says so: “<Forklift safety> completed. Please evaluate it: choose Evaluate on the course.”
- The daily Training reminders and escalations job (HR-LEARNING-REMINDERS) asks for any it did not see and reminds weekly until the evaluation is given — three mails in all.
- A completion more than 30 days old — last year’s records imported, for example — asks nobody.
규정 준수 교육
Compliance Training lists every assigned course and whether each person is Compliant today — completed, and the completion still valid — with Due, Overdue and Days overdue. Filter Mandatory to Yes for the mandatory-training report. A re-opened recurring course still counts as compliant until the earlier completion lapses.
Certifications & Licenses
- Record what a person holds: Type (certification or license), Name (for example <Forklift operator>), Issued by, Number, Jurisdiction, Issued, Expires, Required for the job, a Renewal course and the Skill it confirms.
- Every morning the employee and their manager are alerted at 90, 60 and 30 days before expiry and on the day. At the first alert a renewal task is raised, due on the expiry date, and the renewal course is enrolled.
- Renew records the New expiry (later than the current one) and number: “<CRT000014> renewed to <2028-03-31>; it needs verifying again.” Verify marks it checked against the evidence.
An employee adds their own under My Certifications & Licenses; it stays pending until HR verifies it.
기술
- Skills is the catalogue (Code, Name, Category, Top level). Skills Inventory holds who has which skill at what Level, its Source — self, manager, course, certification or import — and whether it is Verified.
- Completing a course raises the skills in Skills a Course Teaches to their level, verified (never lowering one; with a pass mark, only when passed). An active credential raises the skill it confirms.
- Job Skill Requirements say what a job or a position needs; Skill Gaps shows Required, Held and Gap per person.
- An employee assesses themselves under My Skills, unverified; a verified level is changed only by the manager under Team Skills: “<Welding> is verified at level <3> (from your <course>); ask your manager to change it.”
- HR’s Verify on Skills Inventory marks a skill checked. The level is optional: blank verifies it as it stands, a level such as <3> corrects it (the source becomes manager). A level outside the skill’s scale, or not a whole number, is refused: “The level must be a whole number on the skill's scale”.
An outside learning platform: LMS Connectors
- New connector: Code and Name, Platform Aspire or Other LMS (generic) — Aspire starts the field mapping from Aspire’s export headings (CourseID, CourseCode, CourseTitle, EmployeeID, CompletionDate, Score …). Field mapping changes only what differs.
- Transport file: Import file (What the file holds: courses, enrollments or completions; CSV, Excel or text, at most 20 MB) and the Export buttons for courses, enrollments and completions.
- Transport rest: a Base URL starting https://, Authentication (none, basic, bearer, api_key) and Set credential; Test connection says “Reached it: <24> course(s) offered.”; Pull now and the Schedule (hourly, daily, weekly) exchange by themselves.
- Employees matched by employee_no or email; A completion enrols if not enrolled; Create courses not seen before.
LMS Sync Runs lists each exchange: Read, Created, Updated and Refused. A row that could not be taken stays in the LMS Error Log with why; put the mapping or the master data right and choose Reprocess, or Dismiss it.
How to reuse: the names, numbers and dates in angle brackets are examples — use your own courses, people and dates. Screen, field and button names are the product’s.
