The careers site, Internal Jobs and calendar invitations

A public careers site with an apply form that needs no sign-in, closed until you open it; Internal Jobs for employees, whose applications go to recruiting and not to their manager; and calendar invitations every calendar accepts, sent from interviews, reviews, check-ins, CRM activities and appointments — automatically for interviews.

HRMS › Hiring › Recruiting & Onboarding › Careers Site

  1. Open the company’s row and edit it: tick The careers site is open (closed, its address answers “not found”, like any address that does not exist); Headline (empty: “Careers at” and the company name); Introduction (shown above the jobs); Privacy notice (required — what an applicant agrees to before applying, kept word for word on the application); Days an applicant’s details are kept (30 to 3,650, shown to the applicant); and, for United States companies only, Offer the voluntary US self-identification form after applying.
  2. The address starts unguessable. Choose the address sets a public one (lower-case letters, digits and hyphens, e.g. <the company’s name>); the old address stops working. New unguessable address moves it to a new random one, and links to the current one stop working.
  3. Copy link copies the public address.
  4. Advertise a vacancy there with a Job Posting whose Channel is career_site and whose status is live. Internal postings are never shown on the careers site.
  5. Job Postings › Screening questions: one question a line; start a line with * to make it required, end it with (yes/no) for a yes-or-no question. They are asked on the apply form.
  • The apply form takes the CV and a cover letter; each file is inspected and refused unless clean. The applicant gives consent, and the retention they agreed to is kept with the application.
  • An application from the site is made exactly as a recruiter’s is: it appears on Applications with its candidate.
  • The list shows Open, Address, Kind, Live postings, Kept (days), US self-identification offered and Changed.

Employee Self Service › Me › My Workspace › Internal Jobs

  • Jobs open in the company — internal postings and those on the careers site: Job, Role, Department, Where, Type, Pay from, Pay to, Currency, Posted, Apply by, Applied and My application.
  • Apply, with an optional note to the recruiter. The application goes to the recruiting team as an internal applicant linked to your employee record. It is not sent to your manager and needs no self-service approval.

Calendar invitations

  • Send calendar invite is on Interviews, Performance Reviews and check-ins in HRMS, Activities in CRM and Scheduling (appointments) in EHR: an e-mail with an invitation every calendar can accept. Starts, Minutes and Where default to the record’s own (a time with no zone is the company’s own time); Also invite takes more e-mail addresses, separated by commas; Note is added to the invitation.
  • Sending again after a change updates the same calendar entry. Cancel calendar invite sends a cancellation to everybody invited and removes it from their calendars.
  • Interviews send, move and cancel their invitations automatically when they are scheduled, rescheduled or cancelled.
  • An appointment’s invitation carries its number and place, never the reason for the visit — that is health information and is not put in an e-mail.
  • Calendar Invitations (HRMS › Hiring › Recruiting & Onboarding, CRM › Customers › Relationships, EHR › Access & Operations › Administration) lists What, Record, Starts, Where, Invited, Status, Version, Sent, Last result and Last sent, with Send again and Cancel invitation.
  • Invitations go out through the company’s mail connection — SMTP, Microsoft 365, SendGrid, Postmark, Brevo or Mailgun. Sending them is granted per module.

How to reuse: addresses in angle brackets are examples; your own appear in their place.
