Receiving a purchase order: only receivers, only after approval, only in your organizational units; and the Asset class picker

Receive on a purchase order is offered only to people who receive goods and only once the order is approved; the list has an Approval column; receiving is limited to the organizational units your roles reach, and the refusal names the unit; an unapproved order is not sent by EDI; and Fixed Assets picks Asset class and Cost center from lists.

Supply Chain › Purchasing › Requisitions & Orders › Purchase Orders.

Who sees Receive, and when

  • Receive is offered only to somebody whose roles may add goods receipts, goods movements or scan sessions.
  • Only on an open or partly received order whose approval is neither pending nor rejected. On the record page it is greyed with the reason: “Waiting for approval — it can be received once its approvers have signed (Supply Chain › PO Approvals).” or “Rejected by its approver — amend it and submit it for approval again before anything is received.”
  • The list has an Approval column beside Status, and the order’s next step says that an order waiting for approval is not sent to the vendor and nothing can be received against it.
  • EDI does not send an order that is waiting for approval, rejected, draft or cancelled, and says why.

Receiving only for your organizational units

If your roles are confined to some organizational units, an order raised for another unit is refused before anything else happens: “<PO-000045> is raised for <Plant 2>, and your roles let you receive only for <Plant 1>. Receive it in the store of the unit it is for, ask the buyer to raise the order for your unit, or ask an administrator to add that unit to your role (Platform › Access › Roles, Org units).”

An empty list now tells a confined person which units they see: “Your roles show you only the records of <Plant 1>. One raised for another part of the organization is not listed here — ask whoever raised it, or an administrator.”

Fixed Assets: Asset class and Cost center

  • Accounting › Ledger › Assets › Fixed Assets: Asset class is a list of the active asset classes and Cost center a list of cost centers, instead of text boxes.
  • With no classes yet it says “No asset classes yet — add one in Accounting › Asset Classes.” with Open Asset Classes for those who may add one, else “Ask an administrator to add one.” Every asset-class field does the same.

How to reuse: replace each value in angle brackets with your own orders and units.
