Clocking in and out: My Clock, Team Status, Who’s In, Time Policies, punch corrections and charging hours
Employees clock in and out, take breaks and say where they are from a browser or a phone; managers see their team live and decide punch corrections; Time Policies say whether punches are required, how they are rounded, the grace at the start and end, and the premium for working a holiday; and hours are charged to a grant, fund, program, property, cost center or department. An hourly group under its own agreement (an MOU) gets its own policy.
My Clock (employees)
- Employee Self Service › Me › My Workspace › My Clock shows “You are clocked out” (or in, or on a break) and since when.
- Before clocking in you may Charge this shift to… a Grant, Program, Property / site or Cost center — each “— as my position —” unless you choose.
- Clock in. Then Start break and End break, and Clock out (“Your hours for the shift are worked out from your punches.”).
- Where I am — On site, Off site, On call or your company’s own — and Update status.
- The time is the server’s, not the device’s. If your time policy asks for your position, allow location in the browser: “Your time policy needs your position with every punch. Allow location in the browser and try again.”
My punches, last two weeks lists every punch with where it came from (web or mobile). Missed punches lists what is missing. A punch is never edited or deleted: ask for a correction.
Punch exceptions and corrections
- On My Clock, Ask for a correction: Add a missed punch, Change a punch’s time or Remove a punch; the Punch, Punch type, When it should be and Why. Send for approval.
- It waits in the manager’s Team Approvals as “Punch correction”. The punch changes only once it is approved, and the day’s hours are rebuilt.
- HR can Raise a correction on HRMS › Time & Leave › Time & Attendance › Punch Corrections, and Approve or Reject (with Why). Somebody other than whoever asked decides — never the employee about their own punches.
Punch Exceptions lists the last two weeks’ missed punches: a clock-in never clocked out, a break never ended and — for people whose policy requires punches — a scheduled day with no punch and no leave.
Team Status and Who’s In
- Employee Self Service › My Team › Team Status: In, On a break and Out counts, My team now (Now, Since, Status, Where, From), their missed punches and Corrections waiting for you with Decide in Team Approvals.
- HRMS › Time & Leave › Time & Attendance › Who’s In: everybody clocked in, on a break or out now, with their status and where — limited to your organizational units. Human Resources and Payroll Administrator.
Time Policies
| مجال | ما يقرره |
|---|---|
| Pay group / Overtime rule / Location / Company default | Who it governs. The pay group’s policy wins, then the overtime rule chosen on the person, then on their pay group, then the company default. A location policy can only make the position setting stricter. |
| Worked time comes from | manual_allowed — hours may be typed, or punched; punch_required — clock punches only. Typed worked hours are then refused; leave and holidays are still typed. |
| Position with each punch | off, optional (kept when the browser allows it) or required (a punch without it is refused) |
| Round to (minutes), Rounding | For example <15> and nearest. Empty: no rounding. Breaks are never rounded. |
| Grace at the start / end (minutes) | A clock-in this close to the scheduled start counts as the start. Needs a shift or work schedule. |
| Holiday premium earning code, Premium: × the hourly rate, or Premium: flat amount for the day | Hours worked on a holiday of the person’s calendar earn this on top of their pay — a multiplier (<0.5> adds half again) or a flat amount, not both. |
An hourly group under its own agreement (MOU)
- HRMS › Time & Leave › Time & Attendance › Overtime Rules: a rule for the agreement, Applies to union or hourly, its Union code, and a low Order (lower wins).
- HRMS › Payroll › Pay Setup › Pay Groups: a group for the agreement’s hourly people, for example <MOU-12 Hourly>, with that Overtime rule — “Chosen: this rule governs everybody in the group.”
- Time Policies: a policy for that Pay group with the agreement’s punch, rounding, grace and holiday premium terms.
- Generate pay calendar for the group, so it is calculated on its own dates.
Charging hours
Timesheets › Add hours and Time Entries take a Grant, Fund, Program, Property / site, Cost center and Department. Empty, they come from the person’s position (Positions now carry Grant, Fund and Program); a grant brings its own fund. One day can be split across grants as separate entries, and labor distribution follows them into the payroll journal.
How to reuse: the group name, minutes and multipliers in angle brackets are examples; put your agreement’s terms in their place.
