Recruiting: candidate messages, offer letters signed electronically, hiring dashboards, Task Departments and EEO applicant flow
Tell candidates what happens by template — by itself or by hand, by e-mail or text, respecting opt-outs; send an offer letter written from a template and signed electronically; watch hiring, joining and leaving on three dashboards; say which department owns each onboarding and offboarding task; and, for United States companies only, invite voluntary self-identification and read the EEO applicant-flow report.
Dove trovarlo
- HRMS › Hiring › Recruiting & Onboarding: Candidate Messages, Messages to Candidates, Offer Letter Templates, Recruiting Settings, Task Departments, Recruiting Dashboard, Onboarding Dashboard, Offboarding Dashboard and EEO Applicant Flow.
- Roles: HR Recruiter (candidates, offers, messages), Recruitment Coordinator (messages, the recruiting board), Hiring Manager (reads; changes interviews), EEO Officer (the EEO report), Human Resources (all of it, including templates and settings).
Messages to candidates
- Candidate Messages: each message has When it is sent — application_received, stage_changed (with the Stage), interview_scheduled, rejected, offer_sent, offer_signed or manual — By email or sms, a Subject and the Words, with merge fields such as {{candidate.first_name}}, {{job.title}} and {{interview.when}}.
- Tick Send by itself when it happens to send it automatically. Shipped messages are off, except OFFER-SENT.
- To write by hand: Candidates › Send a message — choose a message, or Or your own words.
- Opt out or in records No email and No text messages and How they asked; an opted-out channel is never written to, automatically or by hand.
Messages to Candidates lists every message with its Status and Why: sent, opted_out, held (“Held until a mail transport is configured (Platform > Email).”) or failed (“No mobile number on file.”). A text needs a channel under CRM › Interaction Centre › Connected Channels and is never quietly turned into e-mail. A failed message never stops the action that caused it.
Offer letters and electronic signature
- Offer Letter Templates: Code, Template, Heading on the letter, the Letter with merge fields ({{candidate.name}}, {{offer.start_date}}, {{offer.base_pay}} …), Signed by (name) and (title), and The default letter. OFFER-STD is shipped.
- Approve the offer — somebody other than whoever drew it up. “An offer is approved before it is sent, so somebody has seen it.”
- Offers › Send: Letter (empty: the default) and Note on the signing email. The letter is written, filed as a PDF on the offer, sent for the candidate’s signature and the covering message is e-mailed. Letter previews it.
- The Signature column follows it: out_for_signature, candidate_signed, signed (the signed copy is filed and OFFER-SIGNED is sent), declined, voided or expired.
Recruiting Settings (one per company — open it and change it): Send offers for electronic signature (off: the letter is filed and e-mailed and acceptance recorded by hand), Countersigns offers for the company, Smallest group the EEO report shows (default 5), Days a self-identification link works (default 30) and Days before due that a task shows as due soon (default 3).
Dashboards and Task Departments
- Recruiting Dashboard: Applications, Hires, Time to fill, Time to hire, Offer acceptance, Open requisitions; Funnel by stage, Hiring performance, Source effectiveness, and Compliance — whether every hire was interviewed, had feedback, an offer approved by someone else, signed electronically, a background check and a complete onboarding checklist. Filter From, To and Requisition.
- Onboarding Dashboard: Offer-to-start conversion, Starting in the next 30 days, checklists open, Tasks overdue, Blocking a start date, Average progress.
- Offboarding Dashboard: Leaving in the next 30 and 90 days, Separations completed, tasks open and overdue, Departments behind, and Offboarding tasks by department.
- Task Departments: for each Owner role (it, facilities, payroll, security, finance, hr, manager, employee) the Department that does its tasks and who Answers for it. A template task’s own department comes first.
EEO self-identification and applicant flow — United States companies only
- Applications › Send self-identification link e-mails the applicant a single-use link to the voluntary form (or put {{eeo_invitation}} in a candidate message). Every answer defaults to “I do not wish to answer”.
- Self-identification records a paper form the applicant returned; blanks are recorded as declined, and an applicant’s own answer stands.
- EEO Applicant Flow: choose what Selected means (Hired, Offered, Interviewed). It shows each group’s Selection rate and Impact ratio with the four-fifths comparison; groups smaller than the minimum show “< 5” and are not compared.
Restricted: the EEO report is granted to a role only by name (EEO Officer, Human Resources, HR Auditor), never by a grant of the whole module, and every view is audited. Hiring managers never see self-identification. Answers are kept apart from the application and used only in counts. For a company outside the United States these screens are not shown.
How to reuse: merge fields are typed exactly as shown; replace example names and numbers with your own.
