Sales order lines from an Excel template: Download template and Upload lines from file

Fill in a sales order’s lines in Excel: a sheet per configurable item with a column for every configurator question and its answers as a dropdown, then upload the file, check every row in a preview with its reasons and a 360° view, and append or replace the order’s lines. Nothing is saved until the order is.

An order with many configured lines — forty valves, each with its own size, material and actuator — is quicker to fill in a spreadsheet than line by line in the configurator. The template is made from the configurator models themselves, so its columns are the questions and its dropdowns are the answers the configurator accepts.

Dove trovarlo

  • CRM › Order to Cash › Selling › Sales Orders: on the New sales order form, above the Lines grid, and on a saved order’s Lines tab.
  • The two buttons, Download template and Upload lines from file, are shown only while the order is a draft.
  • You need Add on Sales Orders (a new order) or Change (a saved draft). A configurable item’s rows also need Add on Supply Chain › Configurations, because every configured row is a configuration made.

1. Download the template

  1. Choose Download template. The drawer starts with the items already on the order’s lines.
  2. In Add an item, search for and add the items to order (at most 25 in one template). Remove takes one off.
  3. The table shows what you will get: Sheet, Item, Model (or standard item), Columns and Example rows.
  4. Choose Download template (Excel). The file is sales-order-lines-template.xlsx.

What the template contains

  • A sheet per configurable item, named after its item number; all standard (non-configurable) items share the sheet Standard items.
  • The columns Line no, Item no, Quantity, Unit price and Requested date, then one column for every question of the item’s configurator model.
  • Row 2 is a note for each column, starting with #, and is ignored on upload: for example “The item number. Required”, “How many; 1 when empty”, “Optional. Empty: the configurator’s price, or the price list for a standard item” and, for a question, its code, whether it is required and the answers it accepts.
  • Dropdowns: Item no, and every question with a fixed list of answers. A question that also takes a typed value warns but accepts the value; a question that takes several answers separates them with ;.
  • Example rows taken from recent completed configurations of the model (generated ones when there are none). Replace or delete them.

2. Fill it in and upload it

  1. Write one row per order line under the headings. Leave Unit price empty for the configured price (or the price list for a standard item), and Requested date empty for the order’s date.
  2. Back on the order choose Upload lines from file and pick the file (.xlsx, .xls or .csv; at most 5 MB and 500 lines).
  3. Every configurable row is configured exactly as Configure on a line would do it, and priced as the order prices a configured line.

3. The preview: Lines from the file

  • The drawer says how many rows are ready to add and how many have problems, and lists any Columns not used.
  • Columns: Line (with the sheet and spreadsheet row), Item, Qty, Configuration (the CFG number and each question: answer — a typed value shows the value, for example <225 mm>), Unit price (as given or configured price, with the Amount under it), Requested and Result.
  • Result is OK, or Refused with every reason, each naming its column — for example “Quantity: "<x>" is not a number above zero” or “"<Brass>" is not an answer to <Body material>. Allowed: …”. Correct the file and upload it again.
  • 360° beside OK opens the line before anything is saved: Configuration, its Bill of material as a tree of levels — the product at 0, a coated rod such as <COAT-ROD-36> at 1 and the bare rod <ROD-36> it is made from at 2 — each part with its own kind, and Cost (Cost element, Per unit, Cost for this line, Total), worked out from the answers and saved when the configuration is resolved.
  • Tick the rows to add (all OK rows are ticked), then choose Append to the lines (the default) or Replace the lines, and Add lines.

On a new order the rows are put on the form only: nothing is saved until you save the order. On a saved draft each row is added as Add line adds it. Replace the lines asks first and removes the lines already there. Closing the preview cancels the configurations made for rows you did not add.

A file is data: no formula in it is evaluated, and it is scanned before it is read. How to reuse: replace each value in angle brackets with your own items, questions and answers.

Since 20 October the template’s own file uploads clean (TKT-000584): the hidden Lists sheet is skipped, sub-assembly questions are handed down or get their own columns, and headings and answers are matched forgivingly. See Fixed on 20 October 2026.
