Copying a record, and copying a line

Make another one like this — a whole document, a master record, or a single line of one.

Most work is a small change to something that already exists. Copy is offered in three places, and all three leave the original untouched.

A whole record

  • On a list: the ... menu at the end of any row has Copy.
  • On the record itself: Copy sits with the other buttons at the top.
  • The copy gets its own document number from the same series, its lines come with it, and it opens ready to edit. Dates, approvals, postings and anything received or issued against the original are deliberately left behind.

Master data identified by a code you type — a cost centre, a currency, a depreciation key — cannot simply be duplicated, because the code is unique. Copy there opens the New form with everything filled in and the code waiting to be typed.

A single line

In the line grid of a document you are writing, each row has Copy beside Remove; the copy lands directly beneath it so the grid stays in the order you built it. On a saved document, Copy on a line opens the new-line form filled in from that line — because the reason to copy a line is almost always to change one thing about it, and a line that appeared without being looked at is a line nobody checked.

A copied line does not carry the original’s line number, nor anything already received, issued, delivered or invoiced against it. Those belong to the line they happened to.
