Building and publishing the exam timetable

Exam periods, a scheduler that keeps every student to one exam at a time and the day's limit, exams split across rooms, invigilators, and publishing to the portal.

  1. On Exam Periods, add a period for the term with its dates, exam days and the most exams a student may sit in a day.
  2. Add its Sittings (for example Morning 09:00 to 12:00 and Afternoon 14:00 to 17:00).
  3. Press Generate exams: one exam per section, or one per course sat by every section together.
  4. Press Schedule. The proposal appears and is saved as a preview on Timetable Runs; anything that could not be placed is listed with the reason.
  5. Apply the run on Timetable Runs, check Exam Clashes is empty, then press Publish.

Who sits an exam is never typed: it is everybody registered or auditing on its section (or on every section of its course). Two exams that share a candidate are never put at overlapping times, and nobody is given more exams in a day than the period allows.

Candidates are seated in one room when one is big enough; otherwise the exam is split across rooms. One hall can hold several small exams at once up to its exam seats. Every room gets an invigilator (one per the period's seats per invigilator), the section's own lecturer first, never somebody teaching or invigilating elsewhere at the time.

A change made by hand on the Exams screen is checked exactly like the scheduler's: two exams at once for a student, too many in a day, more candidates than exam seats, or a busy invigilator is refused. Publishing is refused while there is a clash or an exam without enough seats.

Once published, each student sees their exams (date, time and rooms) on their portal, and the linked assessment carries the date and rooms.
