Which account each automatic posting uses

Invoices, receipts, payroll, stock and the other automatic postings go to the account your chart of accounts says does that job, not to fixed account numbers.

When a document posts by itself (a customer invoice, a supplier bill, a goods receipt, a payroll run, a depreciation run), TRANXACT has to choose the account for each line. It now uses the account in your own chart of accounts that does that job.

  • Open Accounting, Chart of Accounts, and set the Posting role on an account, for example Accounts receivable, Inventory, GR/IR accrual, Wages payable or Contract liability. Each role can be set on one account only.
  • If you leave a role unset, the system first looks for the usual account number for it, then for an account whose name says what it is (for example 'Trade Receivables' or 'Sales Tax Payable').
  • If your chart has no account for a role a posting needs, the posting is refused and the message names the posting role to set. Nothing is posted to an account that does not fit.

An account a document names itself always wins: a line that names its GL account, a fee that names its revenue account, a lease or asset class that names its own accounts.
