Moving a record to its next step
Records such as a demand plan, a payment proposal or a personnel action move to their next status with a named button on the record, never by typing a status.
Each button moves the record only from the status it starts from. Pressed on a record in any other status, it says which status the record is in and which statuses the step starts from. Every move is written to the audit log with who made it.
- Demand plans: Send for review (from calculated), Approve or Send back (from in review), Publish (from approved). The person who sent a plan for review does not approve it. Publishing marks the version it supersedes as superseded. Recalculating a plan clears its review and approval.
- Supply plans: Release (from complete) makes it the plan the business works to. A what-if plan is never released, and a released plan is not run again.
- Planned orders: Mark reviewed (from proposed), Firm without ordering (from proposed or reviewed: the next run keeps it and counts it as supply), and Firm it, which raises the requisition or works order.
- Payment proposals: Approve, by somebody other than whoever prepared it, then Release. An approved proposal can no longer be edited.
- Auctions: Award (from closed). The leading bid wins unless you name another supplier; passing over the leader, or awarding a bid that missed the reserve, needs a reason. The winning bid, supplier and amount are kept on the auction.
- CAM programs: Release (from proven). Any other released version of the same program is superseded.
- Change requests: Sign signs one discipline's step on the review board. A step that names a person or a role is signed by that signer only, and whoever raised the request does not sign it. Decide refuses an approval while a step is unsigned or has said no. Each discipline is signed by a different person, and Decide asks for a Justification to reject or defer, or to go against the board.
- Revenue: Satisfied on a performance obligation (from pending or in progress), Complete on a revenue contract (only when every obligation is satisfied and every scheduled amount is recognised), and Mark due on a billing line (from planned).
- Travel bookings: Confirm, Ticket, Change and Mark used.
- Card transactions and receipts: Tie to a line and Untie; a receipt that is matched can be Verified by somebody other than whoever uploaded it.
- Service entries: Submit (from draft) and Mark invoiced (from approved), naming the supplier invoice that bills the work.
- Broadcasts: Schedule records when an approved broadcast is to go; Unschedule puts it back to approved. Scheduling sends nothing by itself.
- Personnel actions: Submit, Approve, Reject, Make effective and Cancel.
Each step is granted with Change on its screen in Roles. Signing a change request's step is also allowed by Change on Change Approvals.
