Payroll runs: to the cent, missing time, overtime and employer contributions

A payslip adds up to the cent with percentage deductions; an approved run can be sent back and a calculated one cancelled; hourly people without approved time are named, with Calculate without them or Hold the run; overtime is paid as the rule evaluated it; the overtime rule can be set for a public employer, a pay group or an employee; employer percentage contributions are shown.

Payslips to the cent

Every line is rounded to the cent first, each total is the sum of its lines, and net pay is gross less taxes and deductions. With percentage deductions (a pension at 8%, a 457(b) percentage, union dues) gross now always equals net plus taxes plus deductions, and the run posts to the ledger instead of being refused as unbalanced.

Sending a run back, or cancelling it

  • Send back, on the row of an approved run on HRMS › Payroll › Pay Processing › Payroll Runs, returns it to calculated for correction: “Send this approved run back to calculated? It will need approving again.”
  • Cancel run, on the row of a calculated run, cancels it: “Cancel this run? Its year-to-date amounts, retro pay and budget commitment are released, and the period can be calculated again.” Its year-to-date share is taken back off, its retro pay re-opened and its budget commitment released, so the period can be calculated again.
  • Both are recorded in the audit trail. Ask can do them too, after Confirm. A posted run cannot be sent back or cancelled.

Hourly people with no approved time

Calculate payroll no longer skips them silently. When hourly employees have no approved time for the period, the run stops and names each of them and why: no timesheet, a timesheet still draft or submitted, or the period not yet ended. The pop-up then offers two ways on:

  • Calculate without them — salaried staff and everyone with approved time are paid; the people left out are recorded on the run and in its message.
  • Hold the run — nothing is calculated; approve the timesheets and calculate again.

Automated runs go on without them and name them. Any refusal that offers choices is drawn this way in the action pop-up.

Overtime paid as the rule evaluated it

  • Hourly pay follows the overtime and double time the rule evaluated on the timesheet, at that rule’s multipliers.
  • Typed overtime still counts: the greater of typed and computed premium hours is paid, never both.

Which overtime rule applies

  • HRMS › Time & Leave › Time & Attendance › Overtime Rules › Public employer (toolbar): tick This company is a public employer for a county, city or school district. Rules whose Applies to a public employer is cleared (California daily overtime, as shipped) are then passed over and the weekly rule governs.
  • Overtime rule on Pay Groups governs everybody in the group; Overtime rule on Employees governs that person. Empty on both: the rules decide by where people work, as before.

Employer contributions

Employer-paid deduction codes are computed, a percentage of gross included, and shown on the payslip as employer contribution lines. Totals still settle to the cent.

Timesheets

A draft timesheet with no hours on it can be deleted (Delete on Timesheets, and on My Time in self service): “Delete this empty timesheet? Only a draft with no hours on it can be deleted.” Another can then be opened for the same period.

Since 20 October Calculate payroll asks for the pay group and pay period, Off-cycle payroll pays one person, benefit tiers are priced, shift premiums paid and an outside tax engine honoured.
