GST on an invoice, note, quotation or sales order
In a company under India GST, the server works out GST on every AR invoice, credit and debit note, quotation and sales order: CGST and SGST within a state, IGST between states and for exports and SEZ, and nothing charged under reverse charge. The Tax invoice (GST) print follows Rule 46.
You choose the customer, the items and the quantities. The tax is not typed: it is worked out when the document is saved, and again when a line is changed on the Lines tab or an order is invoiced later.
- Supplier GSTIN: the GSTIN you supply from, chosen on the document, or else the principal or the branch’s registration.
- Place of supply: from the customer’s GSTIN or GST state, or from the ship-to. A buyer abroad is 96, Foreign Country: an export.
- The GST code of each line, as in force on the document’s date: from the line, or the item’s Sales tab, or the item, or the rate of its HSN/SAC on HSN Rates, or the company default.
- The split: within the same state CGST and SGST (or UTGST), half each; to another state, an export or an SEZ, IGST. An export or SEZ supply under a letter of undertaking is zero rated. Cess is added where the code carries it.
- Reverse charge: the invoice charges no GST, and records the tax the recipient must pay. The AR invoice list shows Supplier GSTIN, Place of supply, Reverse charge and E-way bill.
What is refused, in a sentence
- A code no longer in force on the document’s date, such as GST12 after 21 September 2025.
- A purchases code on a sale (RCM18, IMPGOOD), and an input code from the general list (IN18B).
Items
Supply Chain → Master Data → Items & Suppliers → Items: HSN/SAC code (4 to 8 digits; a service’s SAC starts 99), GST tax code (sales), Unit quantity code (UQC, such as NOS, KGS, MTR) and A service (SAC). The item’s Sales tab may name a different GST code for its sales. Left empty, the rate of the item’s HSN/SAC is used.
The print, the IRN and the QR
- Tax invoice (GST), print form GSTINV-A4 (GSTINV-A4-MEMO for notes), is laid out to Rule 46: both GSTINs, place of supply by name and code, HSN/SAC and the CGST, SGST and IGST rate and amount per line and in total, cess, reverse charge Yes or No, the IRN, acknowledgement and signed QR, the amount in words in lakhs, and the authorised signatory.
- Once the invoice is registered with the IRP, E-invoice: IRN and QR on the AR invoice shows its IRN, the fifteen-digit Ack No, the Ack date and the signed QR.
- The plain invoice print shows the GSTIN where there is no other tax registration. The Saudi bilingual print and every other country’s are unchanged.
The currency
A new invoice, sales order, quotation, account or configurator model now starts in the company’s own currency (rupees in India) instead of US dollars. Invoices of Indian companies that had been made in USD at rate 1 with no dollar money against them, and domestic customers given USD by the old default, were corrected, and each correction was logged.
A new invoice, note, quotation or order form asks India’s questions only of a company in India, and Saudi Arabia’s (invoice type, VAT category, VATEX codes) only of a company in Saudi Arabia.
