Goods receipts, and the serial numbers of what came in

Supply Chain → Requisitions & Orders → Goods Receipts: every receipt, who received it and every line it brought in — and recording the serial number of each unit, after posting too.

A goods receipt is made by Receive on a purchase order, or by a scan at the dock on Goods Movement. Supply Chain → Requisitions & Orders → Goods Receipts lists every one: the receipt, the purchase order, the supplier, when it was received and by whom, how many lines and how much came in, and how many serial numbers have been recorded.

What a receipt shows

Open a receipt and it shows the person who received it by name, and every line it received:

ColumnWhat it says
PO lineThe purchase order line the goods were received against.
Item, DescriptionWhat came in.
Qty received, UnitHow much, and in which unit.
Lot, ExpiryThe lot it came in, and its expiry where the item has one.
Warehouse, BinWhere it was put away.
Serials recorded, Serial numbersHow many of the units have a serial number recorded, and which numbers they are. A line still missing some offers Register serials.

The quantities are posted — to inventory and to the goods-received journal — and cannot be edited. To take a receipt back, reverse it on Goods Movement.

Recording serial numbers

Register serials, on a received line, records the serial number of each unit that line brought in. It can be done when the goods arrive or later, after the receipt has posted — the serials are often read off the boxes once they are unpacked.

  1. Open the receipt and find the line. The dialog’s title says how many are recorded so far: "Serial numbers for PUMP-10 — 2 of 5 recorded".
  2. Type the serial numbers in Serial numbers, one per line or separated by commas.
  3. To give a unit its own lot, write "serial | lot", for example "SN-1001 | LOT-7". Lot number, below, is used for every serial that does not name its own; left empty, the line’s lot is used.
  4. Or leave Serial numbers empty and give a number in "Or: how many to allocate". The platform allocates that many from the item’s serial prefix.
  5. Save. The line’s Serials recorded goes up, and Register serials disappears once every unit has a number.
  • Never more than the quantity received. Five pumps received take five serial numbers, and a sixth is refused.
  • A serial number already used for the same item is refused, and the message names it. Two different items may share a number.

Finding the units afterwards

  • Under the receipt, Serial numbers lists every unit it brought in: the PO line, item, serial, lot, status, where it is and when it was received.
  • Supply Chain → Traceability → Serial Numbers has every unit and its history. Filter it by receipt or by purchase order.
  • On a purchase order that has been received, Receipts and Serial numbers open those two lists already filtered to that order. On a receipt, Serial numbers does the same for the receipt.

Register serials needs add or change on Goods Receipts, or add on Serial Numbers. See Roles and permissions.
