Moving stock: receipts, issues, transfers and counts

Supply Chain → Warehouse → Goods Movement. Every kind of stock movement is the same five steps, and this is what each one asks for.

Supply Chain → Warehouse → Goods Movement → Scan & Post is the handheld screen. Whatever you are doing, it is the same five steps: pick the application, pick the kind of movement, pick the document it is raised against, scan or name what is actually there, and post. The bar across the top shows where you are in those five.

The applications

ApplicationWhat it doesRaised against
Goods ReceiptTakes stock in.A purchase order, a delivery note, or nothing at all.
Goods IssueTakes stock out to something that consumes it.A cost center, a project, a work order, a delivery, or a reservation.
Transfer PostingMoves stock from one place to another.A plant, a storage bin, a material document, or a reservation.
Physical InventoryStates what is actually on the shelf.A bin. Only the difference posts.
Cycle CountThe same, as a rolling sample.A bin.
Return to VendorSends goods back. The purchase order they came in on.
ScrappingWrites off what cannot be used.A bin, or whatever you scan. The reason is part of the posting.
Initial Stock EntryBrings opening stock on to the books.Nothing — there is no order behind day one.
ReversalUndoes a movement that has posted. The material document it undoes.

The movements are named by what they do, not by a number. If you have come from another product and are looking for 101, 301, 303, 305, 311 or 551, they are Against an order, Between plants, Out of storage, Into storage, Bin to bin and Written off.

Receiving against an order

  1. Choose Goods Receipt, then Purchase Order. Every order with something still to come is listed, newest first.
  2. Scan a material label on this screen and the list narrows to the orders that actually carry that material. Or search by order number, plant or supplier, and sort with the button beside the search box.
  3. Choose the order. Its lines appear with what is still open on each.
  4. Scan each label, or type the quantity into the Received column. Receiving more than is open is refused and says by how much.
  5. Continue. Fill in the document date, the posting date, the delivery note, the bill of lading, the unloading point and the bin, and choose a printer and a number of copies.
  6. Post. Receiving less than was ordered is confirmed first — it is normal, but it is not assumed.

Receiving with no order behind it

Goods Receipt → Material Number is for goods that arrived with no order and no notice. There are no prescribed lines, so you name the material and the quantity yourself, and the posting screen asks what carries the cost: a cost center, a project by its WBS element, or neither.

When there is nothing to scan

Scrapping something off the floor, an opening balance on the first day and an issue to a cost center have no label and no document. On those screens a panel appears above the lines: name the material, give a quantity, add a batch or a serial if it has one, and press Add. Each line can be retyped, or taken off with the × beside it. Everything after that — Continue, the header, Post — is the same.

Against a reservation

A reservation is stock already promised to an order. Choosing one prescribes the lines: what to move, how much, and where it is. Both Goods Issue and Transfer Posting can be raised from one, and the open reservations for the same order are shown together so they are confirmed in one movement rather than several.

How much is there to move

On a goods issue, a transfer posting, a scrapping or a return to vendor, every line shows what is available to move: on hand, less what is already allocated, in available stock only — quality-held stock is on the shelf and cannot be issued. It is counted where the movement takes it from: the bin chosen, else the warehouse, else anywhere. A line asking for more than is there says "not enough" before Post refuses it. On a movement raised against a work order, a delivery or a reservation, the number column is what is Required and the available figure sits under the material.

Reversing

A reversal is the exact opposite of what posted, worked out from the movement itself: reversing a receipt takes the stock back out, reversing an issue puts it back, and reversing a transfer moves it back the way it came. Choose Reversal, choose the material document, check the lines and post. A physical inventory is not reversed — count again, and the next count posts the new difference.

What it leaves on paper

After a movement posts, the Information box offers two documents. Labels prints one label per line, per copy, each with a barcode and a QR carrying the material, batch, serial and quantity. The material document is the slip that travels with the goods: what moved, from where to where, against what, with its own number printed as a barcode so a reversal can be reached by scanning the paper. Either can be printed or saved as a PDF, and either can be printed again months later from Movement History → Print labels and the material document.

Save as PDF writes the file here. Print opens a preview on your own paper size, and your browser’s own Print dialogue has a Save as PDF of its own — use that one for a language the built-in writer cannot set, which it says rather than printing question marks.

Who may do it

Scanning, posting, reversing and writing tags are each permissions in their own right, under Supply Chain on the Roles screen. A role with display on Goods Movement can watch a movement and not post one. The Warehouse Operator role is granted scanning and posting; writing a delivery tag is a Warehouse Manager permission, because a tag that posts a whole delivery is worth as much as the delivery.
