Bill a whole term in one go

Student Lifecycle, Term Billing bills every enrolled student of a term, or of one programme in it, at once. Preview first; billing it again never bills a student twice.

Each term shows the students enrolled, the bills already raised, the students not yet billed and the total billed.

  1. Open Student Lifecycle, Term Billing.
  2. On the term, press Preview billing: every student who would be billed, the charges, aid, net due and the fees charged, and every student who would be passed over and why (already billed, registered for nothing, no fees configured). Nothing is billed by the preview.
  3. Press Bill the term. Choose a Programme to bill only its students, a Due date (blank takes the term's start date), and tick Issue the bills to Accounting as well to raise each bill's receivable at once.
  4. The answer lists the bills raised and the students passed over or refused, each with the reason.

The charges are worked out exactly as Bill term on one student works them out: the most specific fees for the student's programme, residency and level, by credit, course or term, less accepted aid. A student who already has a bill for the term is passed over, so pressing Bill the term twice, or two people pressing it, bills nobody twice.

Who the invoice names, and what a bill shows

  • Since 13 October 2026 the invoice raised from a student bill names the payer. That is the sponsor set in the student’s Fees billed to (sponsor) field, or otherwise the student, for whom a customer record is created on their first bill and used again for every later one. Invoices raised earlier were filled in the same way.
  • A bill’s Paid matches its invoice’s Paid: the money received. Credit notes on the invoice are shown separately, as Credited, and AR Invoices has a Credited column too. Paid and Credited together decide whether the bill is partially paid or paid, and its balance.
  • Record payment on Student Billing takes a payment on the bill: it posts one receipt to the bill’s invoice, so the invoice and the bill both update. The invoice must be posted first; on a draft invoice it is refused and names the invoice to post.
