Warnings before you save
When you raise a requisition, an order, a supplier invoice or a payment, TRANXACT checks it against what is already on file and, if something looks like a duplicate or a risk, tells you before it is saved.
The checks are plain, fixed rules run against your company's records, not guesses. A warning names the records it found, and you only see records you are allowed to open.
- A requisition for an item (or one with a very similar name) already requested for the same warehouse in the last 30 days, still on an open purchase order, or in stock in another warehouse.
- A supplier invoice with the same invoice number, or the same amount, from the same supplier; an invoice for an order nothing has been received on.
- A large payment to a supplier whose bank details changed in the last 30 days.
- A purchase price far above the item's last five purchases, or a supplier with no contract when another supplier of the item has one.
- Spending against a cost centre with no budget this year.
- A sales order for a customer over their credit limit or with invoices more than 90 days overdue.
- A repeated case for the same customer, an expense like one already claimed, and an employee who is already on file.
- Fill in the form and press the save button as usual.
- If a warning appears, read it. The record numbers in it open the records it found.
- Choose Continue to save anyway (add a reason if it is not what it looks like, for example: not a duplicate, this is for another site), Open to go to the record it found instead, or Cancel.
A reason you give is remembered: the same warning about the same records will not come back. Warnings that a save raises afterwards are also shown in the message that confirms the save.
