Invoice numbers per GSTIN and financial year
In a company under India GST, a posted AR invoice, credit note or debit note is numbered in its GSTIN’s own series for the financial year (KA/2627/00001), restarting every 1 April. The number is given when the document is posted.
GST asks for a series per registration, no more than 16 characters, unique in the financial year. A draft keeps its draft number; Post gives it the next number in the series of the GSTIN it is supplied from.
- Accounting → Close & Compliance → GST → GST Document Series lists the series: GSTIN, Document (invoice, credit note, debit note), Prefix, Digits, Year, Next number, Last issued and Active.
- The number is the prefix (KA for Karnataka), the financial year (2627 for April 2026 to March 2027) and the running number: KA/2627/00001.
- Each series restarts at 1 every 1 April.
- Indian Entity → Invoice numbering chooses Per GSTIN, restarting every 1 April, or One company series (ARINV), the series every other company uses.
Because the number is given at posting, an invoice saved as a draft has a different number once posted. A credit note’s print names the posted number of the invoice it credits.
A company that is not under India GST, and every company in another country, is numbered exactly as before.
