Fees past due: the warning, the late fee and the hold
A student bill past its due date is warned about once, to the student and to finance. A late fee is charged only if the school's Fee Schedule has one, and a hold is placed only if the school's Alert Rules ask for one.
Student Lifecycle, Overdue Student Bills lists every bill past its due date with money still open: how many days late, how much is outstanding, when the student was warned, its late fee and whether it has put the student on hold.
- The warning: once per bill, when it is as late as Alert Rules say. The student gets a message on their portal and the 'A student's fees are overdue' email; finance gets the email; a financial early alert is raised.
- The late fee: off unless the school sets one. On the Fee Schedule, add a fee of type Late, Charged flat (a fixed amount) or pct_of_overdue (that percentage of what is overdue), with Late fee: charged after (days overdue). It is charged once per overdue bill, as a bill of its own with its own draft invoice in Accounting, so it shows in the student's balance and is paid like any other bill. A late fee is never charged on a late fee, and never as a term charge.
- The hold: off unless Alert Rules give Place a hold when overdue by (days). The hold names the bill.
- Open Student Lifecycle, Overdue Student Bills.
- Tick the bills to charge, then press Charge late fees and holds: each ticked bill is charged its late fee and given its hold, as the rules call for. The button is greyed until a bill is ticked, and a bill already charged or held is left as it is.
- Or press Charge late fee / hold on one bill.
The hourly check warns on its own. Whether it also charges the late fees and places the holds without anybody pressing is the company's automation level for the job slcm.overdue-fees: by default finance is told what is due and presses the button.
Since 12 October
- Late fee: charged after (days overdue) is now saved, and is required (a whole number of days) for an active Late fee. Other fees do not ask for it.
- A bill paid after its due date: Apply receipt first says the bill is overdue, and the receipt charges the school’s late fee once, if the bill is late enough, as a bill of its own with a draft invoice. The answer says the payment was late and what was charged, or why nothing was. (Before, paying took the bill off Overdue Student Bills and the late fee could never be charged.)
- slcm.overdue-fees is offered under Platform, Automation Levels, so a school can let the job act or ask for approval.
- Charge late fees and holds acts only on the bills ticked in the list, never on every overdue bill at once. Every overdue bill is still charged by the scheduled late-fee job (Platform, Batch Jobs), at the company's automation level.
