Working with an employee’s record
HRMS → People → Employees: the 360° links, personnel actions, what Edit does not change, copying an employee, looking at a past date, and adding work relationships, right to work and compliance from the employee.
An employee’s record in HRMS → People → Employees brings together their work relationships, right to work, compliance, personnel actions and the rest. These are the rules for working with it.
Following a link from the 360° view
Each card in the employee’s 360° view links to its list — work relationships, right to work, personnel actions and so on. The list opens filtered to this employee, says so, and has a Show all link to take the filter away.
Personnel actions
- Dates are shown in the format you chose in your preferences.
- Proposed shows what the action changes as readable field names and values, not as codes.
- You see only the personnel actions of the company you are working in.
What Edit does not change
The Edit drawer says which header fields it does not change. Status changes only with Terminate, Plan separation or Change status, so the leaving date, offboarding and history go with it; Scheduled change is the dated change one of those recorded, and Cancel scheduled change undoes it. A field that cannot be changed says so once, under the field. See When an employee leaves.
Copying an employee
- Choose Copy on the employee’s row or record.
- A form opens already filled in from the original. Nothing is saved yet.
- Enter the new person’s name and hire date, and review everything else.
- Save. The new employee’s record opens, with a message confirming it was created.
Closing the form without saving creates nothing.
As at a date
Set As at to a date and Work relationships and the other tabs show what was in force on that day — the job, the position and the terms the person held then. Clear it to see today again.
Work relationships after a leaving
A work relationship cannot start after the leaving date of an employee who has been terminated or has retired. Somebody who comes back is rehired: a new employee record for the same person, which keeps their history and continuous service right.
Adding from the employee
Add on the Work relationships, Right to work and Compliance tabs fills in the employee and the person for you, so the new record is attached to the right person without picking them again.
