Payroll cycles: retro by recalculation, off-cycle and final pay runs, pay calendars per group and the Payroll Readiness board
Retroactive pay worked out by recalculating every payslip paid in the window; off-cycle, bonus, commission, correction and final pay runs for one person; a pay calendar generated for each pay group and periods closed once paid; and a readiness board that says, per group, what is still open before its pay date.
Pay calendars per pay group
- HRMS › Payroll › Pay Setup › Pay Groups › Generate pay calendar: Year, First period starts (weekly and biweekly groups count from here; semimonthly and monthly follow the calendar), Paid days after the period ends (default 5) and Time cut-off, days before the period ends (default 1).
- “<HOURLY>: <26> biweekly pay period(s) added for <2027>.” Periods already there are kept.
- Pay Calendar shows each period’s status: future, open, locked, paid, closed. Posting the regular run marks its period paid.
- Close period, once its regular run is posted: afterwards only a correction run can pay into it. “<HOURLY> period <14> closed (run <PR-000231>).”
Off-cycle, bonus, commission, correction and final pay
- Payroll Runs › Off-cycle payroll: Pay group, Kind of run (Off-cycle payment, Bonus, Commission, Correction, Final pay (termination)), Employee, Earning, Amount, Reason and the dates.
- Final pay also pays the period’s salary or approved time; Amount is anything on top, such as a leave payout.
- The run waits for approval like any other. Only percentage deductions are taken again — never flat deductions or benefit premiums. A Correction is the only run allowed into a locked, paid or closed period.
Retro by recalculation
- HRMS › Payroll › Pay Processing › Retroactive Pay › Work one out: Employee, Reason, Affected from / to, Old rate and New rate.
- Worked out by: Rate difference × periods (with Hours a period for an hourly person) or Recalculating every payslip paid in the window.
- Recalculating runs each paid payslip again at the new rate and pays the difference per earning on the next run: “<412.50> owed over <6> recalculated payslip(s) …”.
Payroll Readiness
HRMS › Payroll › Pay Processing › Payroll Readiness: one row per active pay group for the period now due, with its Cycle (the regular run’s status, not_calculated or no_calendar) and what is still open:
| কলাম | গণনা |
|---|---|
| Unapproved hours | Hours in the period not yet approved |
| Missing timecards | Hourly people with no timesheet and no time |
| Retro pending | Retro pay waiting for the next run |
| Off-cycle | Off-cycle, bonus, commission and final pay runs paying in or just after the period |
| Rate changes / Deduction changes | Pay rates, deductions and benefit enrollments changed since the last posted run |
| W-4 / state gaps | United States companies only: no federal W-4, or no state certificate where the work state taxes income |
| No direct deposit | No active bank account |
| Corrections / Not closed | Correction runs this year; periods paid but not closed |
A daily job warns “<2> pay group(s) not ready for their pay date” for groups paying within five days, and the HR dashboard links here. Anybody who can see Payroll Runs can see the board.
How to reuse: group codes, run numbers, years and amounts in angle brackets are examples; replace them with your own.
